Virginia Harrison Parlor Reservation Policies

In-Room Rules

1. EVENT TIMES

Standard operating hours are from 8:00am – 4:30pm, Monday through Friday. Events after 4:30 and on weekends may incur additional charges.

2. USER REPRESENTATIVE

A designated representative from the unit or organization will be responsible for the event. A University contact person, if different than the User Representative, must be on site throughout the event as well to provide pre and post event supervision.

3. STAFFING

The Harrison Parlor is not staffed during events. User must provide staff to oversee the approved event, including handling of catering arrangements and deliveries.

4. FEES

Administrative, special services and/or equipment fees will be assessed for use of this facility. Services or equipment fees may include items that the User requests and/or are deemed necessary by Dance Department or School of Education staff.

5. FOOD AND BEVERAGE

Users are responsible for making all arrangements for catering services and must attempt to use Wisconsin Union Catering or UW Housing Catering. If neither of those groups can cater the event, then a licensed non-University caterer may be used provided all University guidelines and regulations are met (i.e., food permit and insurance approvals). If alcohol is to be served, an Application for Alcohol Beverage  Permit must be submitted for consideration. If the Wisconsin Union Catering or UW Housing Catering are providing bar service, this application is not needed. The Lathrop Hall kitchen located on the basement level may be available for catering needs.

6. CARE OF THE FACILITY

User will be responsible for the cost of repair or replacement of any University property damaged, defaced or destroyed by those utilizing the facility. Nothing may be adhered to the furniture, walls or woodwork in the Harrison Parlor.

7. CLEAN UP FEES AND CUSTODIAL SERVICES

The Dance Department and School of Education will charge a $50 extensive clean up fee if the room is not left in satisfactory condition. Including, but not limited to, trash and recycling in proper receptacles; food, utensils, and dishes taken out of the room; spills are wiped up; and furniture is back to the original arrangement.

If custodial services are deemed necessary by Dance Department or School of Education staff, a charge of $50 per hour for custodial services will be included on the final invoice.

8.  EQUIPMENT RETURN

Any movable equipment that is not returned after an event will be charged on the final invoice. This includes, but is not limited to:

  • Chairs ($100 each)
  • Tables ($200 each)
  • Extension cord ($15 each)
  • Power strip ($20 each)
ALL APPROVED EVENTS WILL NOT DISRUPT OR DISPLACE ONGOING PROGRAMS WITHIN THE FACILITY. LATHROP HALL IS HOME TO DANCE DEPARTMENT COURSES AND REHEARSALS, FOR WHICH MUSICAL ACCOMPANIMENT IS REQUIRED. USER AGREES TO ACCEPT ANY AND ALL BUILDING ACTIVITY DISTRACTIONS INCLUDING NOISE, FOOT TRAFFIC, ETC. WITHOUT EXCEPTION.

Scheduling Priorities

FIRST PRIORITY: DANCE DEPARTMENT EVENTS AND MEETINGS

Request timeline: Eighteen months in advance from date of event or meeting; or from first date in a recurring series of bookings.
Rates: No charge for Dance Department use.

SECOND PRIORITY: SCHOOL OF EDUCATION EVENTS AND MEETINGS

Request timeline: Ten months in advance from date of event or meeting; or from first date in a recurring series of bookings.
Rates: No charge for School of Education use.

THIRD PRIORITY: UW-MADISON EVENTS AND MEETINGS (NON-SCHOOL OF EDUCATION)

Request Timeline: Schedule up to six months in advance from date of event or meeting; or from first date in a recurring series of bookings.
Rates: Room charges do apply to UW-Madison groups that are not part of the School of Education. See rates page for details.

FOURTH PRIORITY: NON-UNIVERSITY GROUPS

Request Timeline: Schedule up to one month in advance from date of event or meeting; or from first date in a recurring series of bookings.
